# Add a person A short walk through the **People** page for an Institution administrator who adds someone on their team. It covers the screens and the words you will see. For the rules behind it, see [invite people and grant access](/docs/people-and-access). ## Before you start - You are a current administrator of the Institution. - You signed in with your passkey in the last 5 minutes. If not, a **Confirm it's you** window opens over the page. Choose **Use passkey** and use your passkey in the small sign-in window. The page keeps what you typed and finishes the step on its own. - You know the person's email address, or they are next to you, or you can reach them straight away through a channel you trust. The setup link works for about 15 minutes. ## Open the People page Open **Organizations**, choose your Institution, then **People** in the side menu. You can also open the Institution administration page and choose **People** at the top. The page has four parts, in this order: the **Add person** card, the **Import from CSV** card, the **People added here** list, and the **Two-administrator proposal** for the slower path that needs a second administrator. ## Add the person 1. In **Add person**, type the person's **Name**. 2. Under **How should they get the link?**, choose one: - **Email it to them** (chosen first when email is available). Type their **Email address**. They get an email with a link that works for about 15 minutes. - **Show it to me to pass on**. The **Email address** is optional here. It is kept so the address can be verified later, and the link is not sent to it. 3. Leave the **Audit reason** as it is or make it more specific, then choose **Create and email** or **Create**. 4. If you chose email, the card says **Queued: an email with the link is on its way.** Follow it in **People added here**. If you chose to show it, the card offers **Show setup link**. If email is not available on this deployment, the card shows only the reveal choice, as before. If a choice says **Not available right now**, use the other one. The card also shows how many people you can still add today. If it says the daily limit is reached, try again tomorrow or use the two-administrator proposal. ## Show and pass on the setup link Only for people added with **Show it to me to pass on**. A link that was emailed is never shown on the page. 1. Choose **Show setup link**. The link appears once, in a box. 2. Choose **Copy link** and pass it to the person yourself. 3. Tell them to open it on their own device and finish setup before the time shown under the link. The link opens the account setup page on the Taifa sign-in site, the same page the setup email opens. They choose **Accept invitation** there. 4. Choose **Hide link**. The link also disappears when you leave the page. It cannot be shown again. ## Add several people from a CSV file 1. Save a file with a header row `name, email` and one person per row as **CSV UTF-8**. 2. In **Import from CSV**, choose the file and **Check file**. Fix any row the table marks as a problem in your file and check it again, or carry on with the rows that are ready. 3. Choose **Create and email**. Each person gets an email with a link that works for about 15 minutes. Rows change from **Waiting** to **Sent** one at a time, about 3 seconds apart. 4. If **Confirm it's you** opens, choose **Use passkey** and use your passkey. The import resumes on its own with the same rows, so no one is added twice. **Sent** means the email is queued. Follow delivery in **People added here**. ## Follow the person's status Each person in **People added here** has one status: **Link ready**, **Link shown**, **Setup completed**, **Expired** or **Cancelled**. People whose link was emailed (with **Email it to them** or from a CSV file) show **Email queued**, **Retrying**, **Email sent**, **Email delivered**, **Link expired**, **Email not sent** or **Email not confirmed** instead. **Retrying** means the email is not sent yet and is being tried again on its own. **Email delivered** appears only after the mail provider reports it. The row also shows when they were added and the last action. - **Link shown**, and the person did not finish in time: choose **Create a new link**, then **Show setup link**. - **Expired**: choose **Create a new link** if it is offered, then **Show setup link**. This includes a link that was never shown before its window ended. Otherwise add the person again. - **Link expired**, **Email not sent** or **Email not confirmed**: choose **Resend** to email a new link. The earlier link stops working. - Added the wrong person: choose **Cancel**. Each of these asks for an audit reason, with a short default filled in. ## After setup **Setup completed** means the account exists. The person still needs portal and application access, which counts only after each application acknowledges it. Follow [give the person access to an application](/docs/people-and-access#give-the-person-access-to-an-application). ## If something goes wrong | You see | Do this | | --- | --- | | **Confirm it's you** | Choose **Use passkey** and use your passkey. If your browser blocks the sign-in window, allow pop-ups or choose **Open full sign-in**, then repeat the step. | | This setup link was already shown once | Choose **Create a new link**, then **Show setup link**. | | The setup link service is unavailable | Wait a moment and choose **Show setup link** again. | | This link window ended | Choose **Create a new link**, then **Show setup link**. | | **Email not sent** | The email never left. Choose **Resend**. | | **Retrying** | Nothing to do yet. If it changes to **Email not sent**, choose **Resend**. | | Showing setup links is not configured for this deployment | No link was used up. Ask the operator to configure it, or email the link with **Import from CSV**. | | People could not be loaded | Choose **Refresh**. If it continues, choose **Sign in again**. | | Add person is turned off | Use the **Two-administrator proposal** on the same page. | | The file is not UTF-8, or is UTF-16 | Save it again as **CSV UTF-8 (Comma delimited)** and check it again. | | Mail is unavailable, so no email was sent | No one was added. Try again later, or choose **Show it to me to pass on**. In a CSV import, choose **Resume** later. | | The daily limit is reached | The remaining rows were not sent. Import them tomorrow. |
